

All domestic reservations must be made in the passenger’s exact name as shown on his/her passport, drivers license, state issued ID, or military ID.
All international reservations must have the passenger’s name as shown and spelled exactly as shown on the passport.
Airlines do not allow name changes, either before or after ticket issuance. Therefore, if a passenger calls-in with even a slightest name change, the airlines require the reservation to be cancelled and a new reservation to be made.
Avia International Travel will not be responsible should the name given by the customer/travel requestor, at time of booking, be incorrect, resulting in penalties or complete loss of the airline ticket value.
Because of our specially contracted fares, airline tickets issued by Avia International Travel are often non-endorsable to other airlines. The passenger must fly on the original airline purchased.
Only the airline can decide whether to place the passenger on a different airline. Such occurrences may be due to unforeseen circumstances, and all additional fees, charges, costs will be either at the airline’s or the passenger’s expense.
Avia will not be responsible for paying any extra fees or costs linked to the endorsement of a ticket or the purchase a new ticket.
Again, because of specially contracted fares, all airline tickets issued by Avia International Travel are not transferable to another name other than what has been printed on the ticket.
Passengers cannot use the airline tickets issued by Avia International Travel as credit for travelers other than the one whose name is shown on the airline ticket.
Avia International Travel will not be responsible for any additional fees or costs associated with reissuing an airline ticket in another person’s name when incorrect information has been submitted.
Avia International Travel charges a service fee for the issuance of airline tickets. The fees will be quoted as part of the total price and are non-refundable.
Although the non-refundable fee will be included in the ticket’s total price, it may be charged and shown separately on the invoice. Ticket charges will appear on the cardholder’s statement in different ways.
When a published airline ticket is charged through Avia’s Computer Reservation System (SABRE), this charge is actually debited by the airline and charges for published airline tickets will appear charged by the validating airline.
Specially negotiated or contracted fares are charged through a merchant account. American Express, Visa, and MasterCard charges will appear with the merchant being Forestieri Interests Corp., Avia International Travel’s parent company or as Avia International Travel.
Many published fares are restricted and possess penalty fees on changes to original bookings. These fees are mandated and imposed by the airlines.
Marine or offshore fares issued by Avia International Travel must be changed directly with Avia International Travel to avoid any additional fees imposed by the airlines. Most, not all, marine fares have no such fees.
When desiring to make a change, we suggest ALL CHANGES BE MADE PRIOR TO FLIGHT DEPARTURE OTHERWISE, THE PASSENGER MAY FORFEIT THE TOTAL VALUE OF THE AIRLINE TICKET.
Avia International Travel recommends all changes should be made at least 72 hours prior to departure. Changes are subject to availability and original fare rules restrictions and may require an upgrade or change of fare as mandated by the airline.
If changes require the reissuance of an airline ticket, a service fee will apply.
Should the airfare rules permit, electronic, paper, or prepaid ticket refunds and cancellations should be requested directly through Avia International Travel prior to the scheduled flight’s departure- we recommend a 72-hour advance notice.
Refunds or cancellations may be requested in three different ways:
Generally, domestic airline ticket refunds are seen on the purchaser’s credit card within 1-3 billing cycles. International airline tickets may take longer.
All Domestic and International Prepaid Ticket refunds and cancellations must be requested through Avia International Travel.
International prepaid refunds may take up to 1 year or more to refund.
Refunding prepaid tickets is strictly at the discretion and authority of the issuing airline.
Avia International Travel is not liable nor shall we refund a passenger’s airline ticket should the passenger be denied boarding due to, but not limited to, not having the proper documentation for travel, an improper routing for the visa/nationality status of the traveler, not reconfirming flights 72 hours prior directly with the carrier, arriving late at the airport, overbooking of flights by the carrier, and events out of the control of Avia International Travel.
Should the customer need a refund due to failing to obtain all proper documents by the traveler and, cancellation is allowed by the airfare, the service fees imposed by Avia International Travel will remain valid. All tickets must be paid before requesting refunds. Avia will refund the client as soon as the refund is received from the airline.
Cancellations of scheduled flights must be made prior to flight departure. You may call Avia at 281-847-2677 24 hours a day, 7 days a week for a cancellation request. Please advise passenger name, date and confirmation number.
Fares are subject to change without advance notice and are not guaranteed until ticketed/purchased. Although Avia International Travel’s policy is to advise clients of ticketing deadlines, the airlines have the ability to change fares at a moments notice without warning. Changes to any quoted airfare may result in a different fare than the fare originally quoted.
Clients may call Avia International Travel for travel assistance 24 hours a day, 7 days a week.
Lost ticket applications will be charged any service fee imposed by the airline.
Due to frequently changing airline schedules, the passenger is responsible to reconfirm his/her flight 24-72 hours prior to departure directly with the airline. Some international airlines will cancel the reservation if a reconfirmation is not made.
Avia International Travel will do all possible in assigning a specific seat according to the passenger’s profile.
Sometimes, seat assignments may only be assigned at airport check-in.
Avia International Travel will not be responsible for being unable to pre-assign seats for a purchased airline ticket or for denied boarding due to the airlines’ overbooking policy.
Homeland Security rules and guidelines, require travelers to check-in 2 hours in advance for domestic flights and 3 hours in advance for international flights. Earlier check-in will also ensure better seat selection when only available at airport check-in.
If at all possible, please access, within 24-hours of flight departure, the respective airline’s website to check-in online and possibly obtain better seating.
Check in times may change due to a higher security alert.
Check in for international flight is 3 hours.
Check in for domestic flights are 2 hours.
Airlines often overbook flights. It is advisable to check-in early. Each carrier has its own policy regarding denied boarding compensation.
Avia International Travel will not be responsible for any passengers that are denied boarding due to overbooking conditions set by the airline.
It is the passenger’s responsibility to verify, at check-in, if their respective airline will check luggage through to his/her final destination.
It is also advisable to inquire at check-in if the airline transfers checked luggage between airports (i.e. London Gatwick to London Heathrow).
Due to excessive baggage loss or delays, it is advisable to personally transfer the luggage during a connection.
Tickets are issued once payment has been received or once client has approved ticketing. Avia International Travel will only issue electronic tickets unless otherwise required.
If a customer requires a paper ticket, due to connections/baggage/visa purposes, the customer must advise Avia International Travel in advance as many airlines charge a service fee for paper tickets.
Although electronic tickets (e-Tickets) are most common, prepaid tickets may need to be set up for various reasons. Prepaid tickets will be generated by the airlines. Avia International Travel is not responsible for problems arising due to airlines’ negligence in issuing an airline ticket once a prepaid has been set up.
Some airline tickets are non-refundable and cannot be cancelled, endorsed, or transferred once issued. Ticket exchanges may be made but are subject to availability and, often, at a cost to the customer.
Sometimes these changes can exceed the cost of a new ticket.
When the first flight of an airline ticket is changed, some fares require the passenger to pay the new published fare.
Some of Avia International Travel/HRG’s negotiated airfare tickets cannot be exchanged for published airfare tickets.
Some of our discounted tickets do not allow frequent flyer mileage accruals.
Upgrades and standbys are NOT permitted on negotiated airfares such as marine and offshore fares.
Advance purchase, eligibility, seat limitations, travel days, dates, minimum or maximum stays, holidays, seasons, blackouts, stopovers are at the passenger’s expense, and penalties/restrictions may apply.
The cardholder agrees to all Terms and will not dispute charges that were legitimately requested by the cardholder and no reservation is complete until ticketed.
To protect our customers, Avia International Travel verifies all information with the credit/debit card company to ensure the billing address, card ID, and cardholder name are correct.
Until such information is verified, the fare is subject to change.
Avia International Travel/HRG is not liable for any change in fare should the transaction be declined by the airline company, travel provider, or the merchant bank.
All adults traveling domestically must have a valid drivers license, state issued identification card, or military identification card to travel.
Children are not required to have identification, but adults must either travel with them or advise the airline prior to travel should a minor be traveling unaccompanied.
All international passengers must hold a passport.
Children not traveling with both birth parents must have a signed notarized affidavit by the non traveling parent giving the traveling parent the right to take the child out of the country.
All travel documents including, but not limited to, passports, visas, drivers license and military identification cards, must be checked for expiration dates and validity required at destination. It is the passenger’s responsibility to obtain and check the requirements and validity of all travel documents needed prior to departure.
Avia International Travel/HRG will not be liable for denied boarding due to the passenger not having the accurate documents. Please remember to include any documents required at any transit point(s).
Some international passengers are limited to the number of countries through which they may transit. It is the passenger’s responsibility to verify that all transit points have been checked with his/her nationality and visa status.
Avia International Travel/HRG is not responsible for denied boarding or the forcing of the passenger to purchase a return ticket once at the airport due to visa requirements.
Many countries require that all passengers have a return ticket home, unless they carry special visas or industry-related documents for work or for other specific reasons.
Avia International Travel/HRG will not be liable for the purchasing of a return ticket should the passenger purchase only a one way airfare ticket.
Prepaid tickets are issued by the airlines. Avia International Travel will do everything possible to ensure that a prepaid ticket is correctly called into the airlines but, we do not guarantee the airline ticket will be at the designated ticket counter for pick up due to reasons outside our control.
Many airlines do not have airport ticket counters and mandate ticket pick-up at a designated city ticket office. Avia International Travel does not recommend this form of ticket issuance when electronic tickets are available.
Avia International Travel/HRG is not responsible for prepaid tickets not being at their designated pick-up point, nor will the purchaser hold Avia International Travel liable for additional costs incurred in purchasing a new ticket, lost wages or potential lost wages, or other additional costs incurred by a prepaid ticket not being at this designated location.
All itineraries must be checked prior to submitting payment. Once documents are received, any discrepancies must be called into Avia International Travel within 24 hours of receipt.
Avia International Travel/HRG is not responsible for errors brought to our attention after this period.
The customer is responsible for paying any delivery fees when electronic tickets are not available. Rates vary depending on the delivery time, distance, and weight, and are subject to change.
Avia International Travel/HRG will keep all passenger, cardholder, and customer information private in our secured server.
Avia International Travel/HRG does not resell any information to third parties. Information filled out by the customer is at the customers own will and the customer, passenger, or third party will not hold Avia International Travel liable for any information that has been obtained in either a legal or non legal way.
Avia International Travel/HRG uses the latest in encrypting information security measures from Thawte, by transmitting information using SSL (Secure Socket Layer) encryption.
We possess a high assurance organizational certificate which provides authentication, message, software, and content integrity and signing, and confidentiality encryption.
